Privacy Policy

Effective: 19 October 2026. This policy explains how Velarionessiquea Outdoor Experiences Ltd. handles personal information connected with this website and kayaking inquiries.

1. Administrator and contact

The organization responsible for the personal information described in this policy is Velarionessiquea Outdoor Experiences Ltd., located at 1847 Marine Drive, Vancouver, BC V6P 6B5, Canada. Privacy questions may be directed to privacy@velarionessiquea.com or by post to the address shown above.

For visitors in Canada, we aim to handle personal information consistently with applicable Canadian private-sector privacy requirements, including rules that may apply in British Columbia. For individuals in the European Economic Area or other regions where the General Data Protection Regulation applies to a particular interaction, the additional GDPR-oriented rights and legal-basis information below also apply to the extent required by law.

2. Scope of this policy

This policy covers information collected through the Velarionessiquea website, contact or inquiry interfaces, and direct communications connected with our kayaking activities. It does not govern websites or services operated independently by other organizations.

We design this website to function without advertising trackers, behavioural profiling tools or embedded third-party media. The public pages can be read without creating an account.

3. Information you may provide

Depending on how you interact with us, you may provide identifiers and contact details such as your name, email address and telephone number; inquiry details such as group size, preferred session, approximate experience level, timing preferences and questions; and correspondence you choose to send.

Please avoid including information that is not necessary for a kayaking inquiry. We do not ask visitors to submit government identifiers, financial account credentials or sensitive-category information through the public inquiry form.

4. Information generated through ordinary website use

A web server can receive limited technical information needed to deliver pages, such as an IP address, request time, requested file, browser information and basic error or security logs. Where such logs are created by the hosting environment, they are used for availability, security, troubleshooting and abuse prevention rather than advertising profiling.

This website itself does not intentionally deploy analytics or advertising scripts. The address and legal-name text displayed on the pages is loaded from a local site file and is not used to profile visitors.

5. Purposes for using personal information

We use relevant information to understand and respond to kayaking inquiries, discuss session or route suitability, organize requested communications, maintain website security, diagnose technical problems, keep basic business records where required, and establish or respond to legal claims when necessary.

We do not sell personal information. We do not use inquiry information to build advertising profiles or to make decisions based solely on automated profiling.

6. Legal bases where GDPR applies

Where the GDPR applies, processing may rely on one or more legal bases depending on context. Steps taken at your request before entering an arrangement may support use of information needed to answer a specific booking-related inquiry. Legitimate interests may support proportionate website security, fraud prevention, record integrity and service improvement, provided those interests are not overridden by your rights. Legal obligations may require limited retention or disclosure. Consent is used where a particular activity legally requires it, and consent can be withdrawn for future processing without affecting earlier lawful processing.

7. Data minimization and accuracy

We aim to collect only the information reasonably relevant to the purpose described. If you provide an update or correction, we will use reasonable steps to keep active records accurate. You can help by avoiding unnecessary personal details in free-text fields and by notifying us when contact information changes.

8. Sharing and service providers

Personal information may be accessible to personnel who need it to handle an inquiry or maintain the website. We may also use infrastructure, hosting, communications, professional or administrative service providers where reasonably necessary. Such providers are expected to handle information only for authorized purposes and under appropriate confidentiality and security obligations.

We may disclose information when required by law, lawful process, or when reasonably necessary to protect rights, systems or users. We do not disclose personal information to unrelated parties for their own direct advertising purposes.

9. International transfers

Because online infrastructure and service providers can operate across jurisdictions, personal information may in some circumstances be processed outside your province or country. Where transfer restrictions apply, we use an appropriate lawful mechanism and reasonable contractual or organizational safeguards. Information processed in another jurisdiction may be subject to lawful access rules there.

10. Retention

We retain information only for as long as reasonably necessary for the purpose for which it was collected, related operational records, dispute handling, and legal or accounting requirements. Retention periods differ by record type. When information is no longer required, it is deleted, anonymized or placed beyond routine use according to the practical capabilities of the relevant system.

11. Security

We use proportionate administrative and technical measures intended to reduce unauthorized access, alteration, disclosure or loss. No internet transmission or storage system can be guaranteed completely secure, so visitors should avoid sending unnecessary confidential information through general website forms or ordinary email.

12. Your privacy choices and rights

Subject to applicable law and exceptions, you may have rights to request access to personal information, request correction, ask about how information has been used or disclosed, withdraw consent where consent is the applicable basis, or make a complaint about handling practices.

Where the GDPR applies, you may also have rights to erasure, restriction of processing, objection to processing based on legitimate interests, data portability for certain information processed by automated means, and the right not to be subject to certain solely automated decisions. You may lodge a complaint with a competent supervisory authority in your place of residence, work or alleged infringement.

To exercise a right, contact privacy@velarionessiquea.com. We may need enough information to verify the request and locate the relevant record. We will not ask for more verification information than is reasonably necessary.

13. Children

The website is intended for general audiences planning kayaking activities. A parent or legal guardian should make inquiries on behalf of a minor where appropriate. We do not knowingly design the website to profile children or collect information from children for advertising purposes.

14. Cookies and similar technologies

The current public website is designed without advertising cookies or behavioural tracking. Our separate Cookie Policy explains the limited technical storage that may arise from ordinary browser or hosting operation and how this site approaches consent if non-essential technologies are introduced later.

15. Links and independent services

If a future page contains a link to an independent external service, that service will have its own privacy practices. A link does not transfer responsibility for the independent service’s processing to Velarionessiquea. Visitors should review the relevant policy before providing information there.

16. Changes to this policy

We may update this policy when website functionality, operational practices or legal requirements change. The effective date at the top will be revised when a material update is published. Where legally required, additional notice or consent will be obtained before a materially different use of previously collected information.
